Modalities

WinCity SOAP Notes comes with predefined modalities for acupuncture, craniosacral therapy, reflexology, massage therapy, and physical therapy.  You can customize the predefined modalities, remove any modality you do not use and add your own modalities. 

Each modality has several fields. We describe all the available fields below. You can set default values for most of those fields. Those default values can be overridden as necessary.

Frequency of use (Used)

You can specify how frequently you use each modality: often, sometimes or rarely.

Modalities that have their Used field set to Often will be automatically added for you to the intervention section of new SOAP charts and will be checked. Unless you uncheck them, they will become part of the printed chart.
For instance, a massage therapist specializing in lymphatic drainage, could set her Lymphatic Drainage modality's Used status to Often. This way, new sessions would automatically include the Lymphatic Drainage modality

Modalities that have their Used field set to Sometimes will be automatically added for you to the intervention section of new SOAP charts and will be unchecked. They will become part of the printed chart only if you check them.

Modalities that have their Used field set to Rarely will NOT be automatically added for you to the intervention section of new SOAP charts, but they will be easily available for addition when needed

Duration

Some modalities have a duration, some others do not. For instance, if you used Swedish massage on your client's upper back for 15 minutes, you might want to or be required to record that duration. On the other hand, if you have performed a physical therapy evaluation, it might not be necessary for you to record the duration of that evaluation.

Has Duration Fields

Make sure to check or uncheck the Has Duration Fields checkbox depending on whether or not a specific modality has a duration.

Default Duration

If you indicate that a modality has a duration, you can include a default duration. This is useful if you usually apply a modality for a specific amount of time.  If you usually perform whole body lymphatic drainage over 60 minutes, then you can specify "60" minutes as the default duration.

Computed Total Duration

If you indicate that a modality has a duration, you can indicate whether that duration should be included in the computed total duration. This computed total duration is used to help you make sure you accounted for all the modalities you used. If the total is shorter than your session length, then most likely you forgot to report a modality or you reported an incorrect duration.

Typically, unattended modalities are not kept in the computed total. For instance, you might apply a hot pack to one part of the body while massaging another. If both the heat application duration and the massage duration are included in the computed total, the computed total will end up being longer than the length of your session.  To ensure that the computed total duration is shorter or equal to the session length, make sure you exclude unattended modalities from the computed total duration.

Location

Some modalities have a location, some others do not. For instance, if you performed Swedish massage on your client's upper back, you might want to or be required to record the massage's location as being the upper back. On the other hand, if you teach wheel chair management, it probably doesn't have a specific body location associated to it.

Has Location Fields

Make sure to check or uncheck the Has Location Fields checkbox depending on whether or not a specific modality can have a location associated to it.

Default Location

If you indicate that a modality can have location fields associated to it, you can include a default location. This is useful if you usually apply a modality for a specific location.  If you usually perform whole body lymphatic drainage over 60 minutes, then you can specify "whole body" as the default location.

Comments

You can add a comments field to any modality.

Has Comments Field

Make sure to check or uncheck the Has Location Fields checkbox depending on whether or not you want a specific modality to have a comments box associated to it.

Default Comment

If you indicate that a modality should have a comments field associated to it, you can include a default comment.

Billing Information

WinCity SOAP Notes allows you to associate a procedure code, a modifier and a number of units with each modality.  This billing information is stored for your own record and is not included on the printed SOAP chart. 

Just like just about everything else in WInCity SOAP Notes, recording billing information along with modalities is entirely optional. Depending on the modalities you use, the way you are being paid for the health care you provide, and the requirements of your billing system, recording billing information along with the modalities might be very useful, extremely cumbersome or totally irrelevant.  If recording this billing information is not useful to you, simply skip the billing information fields.

Note that there doesn't need to be a one to one correspondence between modalities and procedure codes. Several modalities can share the same procedure code.

Has Billing Information Fields

Make sure to check or uncheck the Has Billing Information Fields checkbox depending on whether or not you would like to record billing information with a specific modality.

Procedure Code, Modifier, Unit

If you indicate that a modality has billing information fields associated to it, then you can assign a default procedure code, a default modifier and a default number of units to it.  For instance, if you practice in the USA, you could associate the Procedure code "97010" to the "Application of Cold" modality.
